Connect Xero
Enable accounting sync, connect your Xero organisation, push invoices, and keep payment status up to date.
Direct Xero sync pushes invoices from Easy Days Work into your Xero organisation and shows payment status from Xero on your invoice list. Accounting sync is included on paid plans. Enable it once under Settings → Integrations (or Billing) if Connect is not yet available. For commercial detail see Xero integration or pricing.
CSV export for Xero (and QuickBooks) stays available without connecting a ledger — see Create and share invoices.
What you need
- An Easy Days Work account with permission to manage Billing and Accounting (usually the account owner)
- A Xero organisation you can authorise
- Correct VAT registered setting under Settings → Business (this drives the tax type we send to Xero)
1. Enable accounting sync
- Open Settings → Billing.
- Enable accounting sync if Connect is not yet available on Integrations.
- Complete checkout if Stripe asks you to confirm the subscription change.
- Stay signed in — Accounting options appear once entitlement is active. If Connect Xero is still hidden, refresh the page or sign out and back in once.
2. Connect Xero
- Open Settings → Accounting.
- Choose Connect Xero and sign in to Xero when prompted.
- Select the Xero organisation to link and allow access.
- When you return to Easy Days Work you should see the connection (tenant name and connected time).
To stop syncing later, use Disconnect in the same screen. Existing invoices already in Xero are not deleted.
3. Sync an invoice
From an invoice:
- Open the invoice.
- Optionally choose a sales account (defaults to Xero account 200 when available).
- Choose Sync to Xero (or Re-sync to Xero if it was pushed before).
From several invoices:
- Open Invoices → Bulk export.
- Filter and select the invoices you want.
- Choose Sync to Xero. Already-linked invoices are skipped. The dialog stays open and shows the result.
Sync is manual — creating or editing an invoice in Easy Days Work does not push to Xero by itself.
4. Payment status from Xero
After an invoice is linked:
- When a customer pays in Xero, Easy Days Work updates the ledger status on the invoice list and detail (for example awaiting payment or paid).
- You can also refresh status from the invoice if needed.
- Coloured accents and filters on the invoices list follow Xero ledger state while Xero is connected.
Leave Easy Days Work’s optional paid/unpaid toggle off if Xero is your source of truth — see Settings and billing.
If something goes wrong
| Message / symptom | What to try |
|---|---|
| Asked to reconnect Xero | Settings → Accounting → Disconnect, then Connect Xero again |
| Tax type rejected | Check Settings → Business → VAT registered, then sync again |
| Sales account rejected | Pick a valid revenue account in the account picker, or confirm code 200 in Xero |
| Invoice already has payments in Xero | Re-sync is blocked; payment status still updates from Xero |
| Sync button missing | Confirm accounting sync is enabled and you have invoice write permission |
QuickBooks
Direct QuickBooks Online sync uses the same included sync and connect-and-push path. See Connect QuickBooks. You can connect either Xero or QuickBooks on one account — not both at once.
