Connect QuickBooks
Enable accounting sync, connect QuickBooks Online, push invoices, and keep payment status up to date.
Direct QuickBooks Online sync pushes invoices from Easy Days Work into your QuickBooks company and shows payment status from QuickBooks on your invoice list. Accounting sync is included on paid plans. Enable it once under Settings → Integrations (or Billing) if Connect is not yet available. For commercial detail see QuickBooks integration or pricing.
CSV export for QuickBooks (and Xero) stays available without connecting a ledger — see Create and share invoices.
You can connect either QuickBooks Online or Xero on one account — not both at once. For Xero, see Connect Xero.
What you need
- An Easy Days Work account with permission to manage Billing and Accounting (usually the account owner)
- A QuickBooks Online company you can authorise
- Correct VAT registered setting under Settings → Business (this drives the tax code we send to QuickBooks)
1. Enable accounting sync
- Open Settings → Billing.
- Enable accounting sync if Connect is not yet available on Integrations.
- Complete checkout if Stripe asks you to confirm the subscription change.
- Stay signed in — Accounting options appear once entitlement is active. If Connect QuickBooks is still hidden, refresh the page or sign out and back in once.
2. Connect QuickBooks
- Open Settings → Accounting.
- Choose Connect QuickBooks and sign in to Intuit when prompted.
- Select the QuickBooks Online company to link and allow access.
- When you return to Easy Days Work you should see the connection (company name and connected time).
To stop syncing later, use Disconnect in the same screen. Existing invoices already in QuickBooks are not deleted.
3. Sync an invoice
From an invoice:
- Open the invoice.
- Choose Sync to QuickBooks (or Re-sync to QuickBooks if it was pushed before).
From several invoices:
- Open Invoices → Bulk export.
- Filter and select the invoices you want.
- Choose Sync to QuickBooks. Already-linked invoices are skipped. The dialog stays open and shows the result.
Sync is manual — creating or editing an invoice in Easy Days Work does not push to QuickBooks by itself.
Invoice lines use the QuickBooks income account Sales of Product Income and a Services item (created if missing). There is no account picker yet — keep that standard UK income account in your chart of accounts.
4. Payment status from QuickBooks
After an invoice is linked:
- When a customer pays in QuickBooks, Easy Days Work updates the ledger status on the invoice list and detail (for example awaiting payment or paid).
- You can also refresh status from the invoice if needed.
- Coloured accents and filters on the invoices list follow QuickBooks ledger state while QuickBooks is connected.
Leave Easy Days Work’s optional paid/unpaid toggle off if QuickBooks is your source of truth — see Settings and billing.
If something goes wrong
| Message / symptom | What to try |
|---|---|
| Asked to reconnect QuickBooks | Settings → Accounting → Disconnect, then Connect QuickBooks again |
| Tax code rejected | Check Settings → Business → VAT registered, and that QuickBooks has 20.0% S or No VAT |
| Income account not found | Ensure Sales of Product Income exists in your QuickBooks chart of accounts, then sync again |
| Sync button missing | Confirm accounting sync is enabled, QuickBooks is connected, and you have invoice write permission |
| Connect QuickBooks hidden (Xero connected) | Disconnect Xero first — only one accounting connection is allowed at a time |
Xero
Direct Xero sync uses the same included sync and connect-and-push path. See Connect Xero.
